Everything a service business runs on, in one operational record

ServiceCrown covers the work from the first customer enquiry to the invoice and the business history behind it. The AI assistant works from that same record, so it answers about your actual jobs, people and availability.

The workflow

Every feature sits on one sequence, and each step writes to the record the next step reads.

  1. CustomerContact details, service history and notes in one record.
  2. JobTrack work from first request through dispatch and completion.
  3. Schedule & technicianAssign the job to a technician and a time, and see the team’s day.
  4. QuoteQuote the work and convert an accepted quote into a job without creating duplicates.
  5. WorkRecord labour time, materials and other direct costs against the job.
  6. InvoiceInvoice with NZ GST and send the invoice to Xero as a draft if you use Xero.
  7. Business historyJob costing, profitability, purchasing and reporting build up from the same record.

Capabilities and the plans that include them

Every plan is priced for the whole business, with no per-user fees. Starter includes core operations, field evidence, timesheets and ServiceCrown AI. Pro adds recurring jobs, purchasing, profitability and reporting. Business removes technician and job-volume limits. See pricing, or how these capabilities are used by plumbers, electricians, HVAC technicians, builders and cleaners.

Customers

Contact details, service history and notes in one record.

Quotes

Build a quote for the customer with line items. Quotes move through Draft, Sent, Accepted, Declined or Expired; sending a quote emails its summary to the customer, and a PDF of the quote can be downloaded.

All plans

Accept online

The customer opens the quote from their link and accepts it online. Accepting a quote never requires payment. Businesses can request no upfront payment, full payment upfront, or a fixed or percentage deposit; the quote shows the customer what is due upfront and what will remain for the final invoice. If the business requests payment upfront and has connected Stripe, the customer can pay online through Stripe Checkout after accepting; funds settle directly to the business’s own connected Stripe account, and ServiceCrown never holds the customer’s money. Payment status is visible on the quote in ServiceCrown.

Jobs & scheduling

Track work from first request through dispatch and completion.

All plans

Technicians

Manage the team; technicians record labour time on their jobs from their phone.

All plans

Recurring jobs

Jobs that repeat on a schedule — a weekly service, a monthly visit — are generated automatically from a recurring job definition instead of being re-created by hand each time.

Pro and Business

Do the work

On the job

Record labour time, materials and other direct costs against the job.

All plans

Technician portal

Technicians use their own portal (installable on a phone) to see their jobs, start and stop a timer, and message the office about a job.

All plans

Field evidence

Technicians can attach photo evidence to a job from their phone; every upload is validated and scanned before it is stored on the job record.

Invoice

Create the invoice from the job. GST is applied at your business’s configured rate when your business is GST-registered, and the invoice PDF can be emailed to the customer.

All plans

Get paid

The invoice email carries a secure link to the invoice. Where the business has connected Stripe, customers can pay the remaining invoice balance online from the invoice link, through Stripe Checkout. Any amount already paid on the quote is automatically credited, so after a deposit the invoice asks only for the remaining balance, and a fully paid invoice never asks for a second payment. For bank transfer or cash, record the payment and method on the invoice manually; mark an invoice overdue and send a reminder email.

Xero

If you use Xero, send an invoice to Xero as a draft with one action, whenever you choose. The export is manual and one-way; ServiceCrown stays the source of truth.

Timesheets & payroll-ready export

Collect technicians’ hours, review and approve them week by week, and export approved hours as a CSV for your own payroll process or software. ServiceCrown does not run payroll or calculate pay.

Timesheet software for field teams: from recorded time to approved hours

Job time and payroll timesheets serve different purposes. Technicians keep using the job timer to record operational work. An owner can copy eligible completed job-time records into the timesheet ledger as drafts; the source record stays unchanged. Later job-time corrections do not silently change the copied hours.

Technicians can create manual entries, correct draft or rejected entries where permitted, and submit their own hours. The owner reviews a Monday–Sunday week, requests corrections or approves entries. Submitted and approved entries are read-only for technicians. Times are entered in the business scheduling timezone, with checks for daylight-saving changes.

Export approved hours as a CSV, including the regular and overtime hours recorded in the ledger. Give those hours to your payroll process or software. ServiceCrown does not run payroll or calculate pay, and the generic export is not a direct payroll-provider integration.

ServiceCrown AI

ServiceCrown AI is AI software for trades and service businesses, built into the field service management workflow. The AI Assistant works across the business’s own operational record: jobs, customers, team, scheduling, quotes, invoices and the knowledge base. It answers from the live record rather than from a separate copy.

Seven sensitive actions — scheduling, assigning, completing, creating or converting quotes, invoicing and sending an invoice — pause for the owner’s confirmation before they run.

Every tool call the assistant makes is written to an audit history: what it did, which business system it touched, which channel asked, and how it ended.

Website AI is a separate customer-facing assistant a business can embed on its own website. It is limited to four tools and the business’s knowledge base. It is not yet generally available. Starting a trial or buying a plan does not enable Website AI.

How the AI layer works

Integrations, described by what they actually do

Jobber

Read-only. ServiceCrown reads supported Jobber data so the AI Assistant can answer about it. ServiceCrown does not create or change Jobber records.

Xero

Manual, one-way. ServiceCrown invoices can be sent to Xero as drafts. ServiceCrown remains the source of truth for its records.

Stripe

Subscription billing for paid plans, and — once a business connects its own Stripe account — online payment of quotes and invoices by its customers, through Stripe Checkout. The trial is granted by ServiceCrown at registration, before any payment provider is involved.
