Plumbers and gasfitters
Plumbing business software for New Zealand: callouts, quoted jobs, scheduling and GST invoices
ServiceCrown is job management and scheduling software for plumbing and gasfitting businesses. It keeps the urgent callout and the quoted install on the same customer record, schedules plumbers against their real availability, records parts and time on each job, and turns the finished job into a GST invoice — with an AI assistant that answers from the live schedule.
Two kinds of plumbing work, one record
A plumbing business runs two streams at once. Callouts arrive by phone and need a van today. Quoted work — cylinders, bathrooms, new connections — waits for a price to be accepted and parts to arrive. ServiceCrown handles both as jobs on the customer’s record, so the difference is a priority and a quote, not a second system.
Urgent callouts
- Log it against the customerA blocked drain call from an existing customer lands on their record, with their address, phone and job history already there. A new customer takes one form: name, phone, email, address, notes.
- Mark it urgentJobs carry a priority of normal, urgent or emergency, so the burst pipe is not sorted alphabetically among the tap washers.
- Put it on the scheduleScheduling keeps appointments inside your business hours and, for the chosen time, shows which plumbers are free — allowing for their working days, recorded time off and the jobs already booked. Unassigned jobs stay visible until a plumber takes them.
- The plumber sees it on their phoneThe technician portal — installable on a phone — shows their jobs and today’s run with the site address, description and notes. They mark the job dispatched, in progress and completed themselves, and can message the office about it.
Quoted jobs: cylinders, bathrooms, new connections
- Quote firstA cylinder replacement or a bathroom rough-in starts as a quote with line items. Sending it emails the customer a summary; a PDF of the quote can be downloaded. Quotes move through draft, sent, accepted, declined or expired.
- Convert when acceptedAn accepted quote converts into a job in one action, and the conversion cannot create a duplicate. The quote’s pricing carries onto the job.
- Parts on the jobFittings and materials are recorded as material costs on the job on every plan. On Pro and Business, a purchase order to your merchant is received against the job, and the receipt creates the job’s material cost automatically — a cost line you cannot edit by hand.
- Time on the jobThe plumber’s timer runs from the portal; the office can add or correct entries; the timesheet summary shows hours per plumber and per job.
The full path from quote to paid invoice is on the quoting and invoicing page.
Invoicing a plumbing job
The invoice is created from the completed job. GST is applied at your configured rate when your business is GST-registered (15% unless you change it in settings), the invoice PDF is emailed to the customer, and you record the payment and method when it arrives. Outstanding invoices can be marked overdue and reminded by email. If your accounts are in Xero, send the invoice there as a draft with one action; the export is manual and one-way.
On Pro and Business, the job’s labour (from timesheets and each plumber’s cost rate), materials and other costs sit against its revenue, so you can see which callouts pay and which quoted jobs went over.
The customer’s history is the next job’s starting point
Every job leaves its address, description, notes, parts and invoice on the customer record. When the same customer rings about the same cylinder two years later, the office reads what was fitted and what it cost before the plumber leaves the yard.
Ask the assistant instead of digging
“What’s on tomorrow?”, “Who can take an emergency in Henderson this afternoon?”, “Which invoices from last month are still unpaid?” — the AI Assistant answers from your live jobs, schedule and invoices. Scheduling or assignment changes it prepares wait for your confirmation, and every action is recorded. How the AI works.
