Builders and property maintenance
Builder job management software for New Zealand: quotes, suppliers, purchase orders and job costing
ServiceCrown is job management software for small building, renovation and property-maintenance businesses. It runs the chain a longer job needs — quote, job, suppliers, purchase orders, receiving, time from several people, job costing and the GST invoice — on one record, with an AI assistant for the admin. It is a field-service record, not an enterprise construction platform.
What ServiceCrown is, and is not, for a builder
ServiceCrown suits a builder whose work is a series of jobs for customers: decks, bathrooms, renovations, repairs, maintenance rounds for property managers. Each job has a quote, people on site, materials from suppliers, and an invoice at the end, and the question the owner wants answered is “what did that job cost and what did it make?”. It does not do project stages, variations, retentions or progress claims; a job is invoiced from its completed record, and a large project would be run as more than one job.
The purchasing and costing chain
- QuoteA deck, a renovation or a fit-out starts as a quote with line items. Sending it emails the customer a summary; a PDF can be downloaded. The quote tracks draft, sent, accepted, declined or expired.
- JobThe accepted quote converts into a job in one action — no duplicate — carrying its pricing. The job has its own site address, description, notes, a scheduled start and a lead technician, and a status the team moves from scheduled through in progress to completed.
- Suppliers and purchase ordersSuppliers are records with contact details, account number and notes. On Pro and Business, a purchase order to a supplier lists the materials for the job; sending it is a status change in ServiceCrown, not an email to the supplier.
- ReceivingWhen materials arrive, receive them against the order — in full, in part, or in several deliveries. Each receipt creates a material cost line on the job that cannot be edited by hand; a mistaken receipt is corrected by a reversal, not by editing history.
- TimeSeveral people’s time lands on the same job: each technician’s timer from their portal, plus office-entered entries. The timesheet summary shows hours per person and per job.
- CostingOn Pro and Business the job shows labour (minutes at each technician’s cost rate), materials from receipts and manual entries, and other direct costs, against the invoiced amount — gross profit and margin per job.
- InvoiceInvoice from the completed job with GST at your configured rate, email the PDF, record the payment, and send the invoice to Xero as a draft if you use Xero.
Seeing the business, not just the job
On Pro and Business, the profitability report lists jobs across a date range by revenue, cost, gross profit and margin, with filters for status, customer and result, and exports to CSV. The purchasing report shows orders sent, received spend, and what is still committed to suppliers but not yet delivered. The overview shows invoiced revenue, payments received, outstanding invoices, costs recorded and tracked hours for the period. Job costing for trades, step by step.
The crew on site
Technicians are invited by email and get their own portal, installable on a phone: their jobs, the site address and notes, a timer, status updates and messaging with the office about the job. The schedule shows the week per person with unassigned jobs in their own lane. Customers — or a property manager — can be given a tracking link that shows the job’s status. Job management and scheduling.
Ask the assistant
“Which quotes are still waiting on a customer?”, “Who is on the Mount Eden job this week?”, “What is still unpaid from July?” — the AI Assistant answers from your live quotes, jobs, schedule and invoices, and prepares scheduling, quoting and invoicing actions that wait for your confirmation. How the AI works.
