The customer’s history is the product

HVAC work returns to the same addresses: the unit you installed is the unit you service and eventually repair. In ServiceCrown every job — install, service, repair — sits on the customer’s record with its date, site address, description, notes, parts and invoice, so the office reads what was done last time before booking the next visit. There is no separate asset register; the job history on the customer is where the equipment’s story lives.

Four kinds of visit, one workflow

1. InstallA heat pump install usually starts as a quote. When the customer accepts, the quote converts into a job in one action, keeps its pricing, and goes on the schedule with a technician and a duration. Units and consumables are recorded as materials on the job; on Pro and Business a purchase order to your supplier is received against the job and the receipt creates the material cost.
2. ServiceA service call is a job against the same customer. The office sees the install job, its notes and what was fitted before the technician is booked, and the technician sees the site address and notes in their portal on the way there.
3. RepairA fault call can be marked urgent or emergency so it is scheduled ahead of routine work. Time on site comes from the technician’s timer; parts used are recorded on the job.
4. InvoiceEach visit is invoiced from its own completed job, with GST at your configured rate and the PDF emailed to the customer. Record the payment when it arrives; send a reminder if it does not. Send the invoice to Xero as a draft if that is where your accounts live.

Scheduling technicians

The schedule shows the day or the week per technician with unassigned jobs in their own lane, and jobs are dragged onto a technician and a time. Appointments stay inside your business hours, and for a chosen time ServiceCrown shows which technicians are free, allowing for working days, recorded time off and the jobs already booked. Each job carries a duration, so a half-day install and a forty-minute service do not look the same on the board. Job management and scheduling.

On Pro and Business, a routine service that repeats weekly, monthly or yearly can be a recurring job, so each visit is generated automatically. On Starter, routine services are booked as jobs when they are due. ServiceCrown does not manage maintenance contracts.

Knowing what an install earned

Install margins depend on the unit price, the extras, and how long the crew was on site. On Pro and Business, each job shows labour (timer minutes at each technician’s cost rate), materials and other costs against the invoiced amount, and the profitability report lists jobs by result and margin. Every plan is one monthly price for the whole business. Starter (NZ$39 a month) covers up to 3 technicians and 50 jobs a month. Pro (NZ$89) covers 10 technicians and 200 jobs a month and adds recurring jobs, purchase orders, receiving, job costing, profitability and reporting.
