Job management

Job management and scheduling software for New Zealand service businesses

Every job in ServiceCrown moves through one lifecycle — from the first request to the invoice — and the schedule, the technician’s phone and the AI assistant all work from that same record. Nothing is copied between a job list, a calendar and a spreadsheet.

The job lifecycle

A job is created against a customer and carries its own status, technician, schedule, time, costs and invoice. The statuses below are the ones the application records, in the order they usually happen.

  1. NewThe request is logged against the customer with the job type, priority and notes.
  2. ScheduledA date and time are set and a technician is assigned; the job appears on the schedule.
  3. DispatchedThe technician has the job in their portal, with the customer and site details.
  4. In progressTime is recorded on the job, from the technician’s timer or an office entry.
  5. CompletedThe work is done; materials, time and other costs sit on the job record.
  6. InvoicedAn invoice is created from the job and the job is closed off.

Jobs can also start from a quote: an accepted quote converts into a job with one action, without creating a duplicate. How quoting and invoicing work. Work that repeats — a weekly service, a monthly visit — can be generated automatically from a recurring job definition instead of being created by hand each time.

Scheduling and technician assignment

Scheduling is a view of the team’s day, not a separate tool. A job is scheduled by giving it a time and a technician; unassigned jobs stay visible until someone takes them.

  • A schedule view of the team’s jobs by day, with unassigned jobs visible so nothing is left without a technician.
  • Each job is assigned to one technician and a time; reassigning or rescheduling updates the technician’s portal.
  • Technicians use their own portal (installable on a phone) to see their jobs, start and stop a timer, and message the office about a job.
  • The office can add or correct time entries; timesheet totals are summarised per technician and per job.
  • Customers can be given a tracking link that shows the job’s status and the technician’s first name.
  • The AI Assistant answers scheduling questions from the live schedule and can prepare a scheduling or assignment change for your confirmation.

Job time and payroll-ready timesheets

Technicians start and stop a timer on the job from their portal, so time is recorded where the work happens. The office can add or correct entries, and timesheet totals are summarised per technician and per job. On Pro and Business, recorded time feeds job costing with each technician’s cost rate, so a job’s labour cost is known without a second system. See labour, materials and margin in the job-costing workflow. Technicians can also attach photo evidence to a job from their phone; every upload is validated and scanned before it is stored on the job record.

Review hours before they reach payroll

Completed job time can be copied into a separate payroll timesheet draft. Technicians can also enter their own hours and submit them for owner review. The weekly ledger supports correction, approval and approved-hours CSV export; it does not calculate pay. A later correction to the job timer record does not change an imported timesheet snapshot.

See the timesheet approval and export workflow. For repeat visits, recurring jobs on Pro and Business generate the work to schedule; the time still needs recording and review.

Ask the schedule a question

The AI Assistant reads the live jobs, technicians and availability. Ask what is on tomorrow, who is free on Friday morning, or which jobs still need a technician, and the answer comes from the schedule as it stands. Scheduling and assignment changes it prepares wait for your confirmation before they run. How the AI works.

Frequently asked questions

Can I schedule technicians?

Yes. A job is scheduled by giving it a time and a technician; the office sees the team’s day with unassigned jobs visible, and the technician sees the job in their own portal.

Can I track job status?

Yes. Every job carries a status — new, scheduled, dispatched, in progress, completed, invoiced — that moves as the work happens, so the schedule and the AI assistant always answer from the job’s current state.

Can I manage recurring jobs?

Yes, on Pro and Business. Jobs that repeat on a schedule are generated automatically from a recurring job definition rather than being re-created manually each time.

Does ServiceCrown keep customer and job history?

Yes. Every job leaves its address, description, notes, parts and invoice on the customer’s record, so the next job starts from what happened last time.

Can I create quotes and invoices from a job?

A quote comes first when the work needs one: build it, send it, and an accepted quote converts into a job in one action without creating a duplicate. The invoice then comes from the completed job, with GST applied at your configured rate.

What evidence can technicians capture on a job?

Technicians can attach photo evidence to a job from their phone. Every upload is validated and scanned before it is stored on the job record.
